What to include on a consulting invoice

How consultants usually bill

Consultants commonly bill a monthly retainer for ongoing advisory work, an hourly or daily rate for defined pieces of work, or a fixed fee per phase for projects. Larger clients often require a PO number on every invoice and pay on Net 30 or Net 45, so ask about their process before your first invoice. Agree in writing which expenses are reimbursable, and whether you bill them at cost or with a markup.

Frequently asked questions

How do consultants bill for expenses?

List reimbursable expenses such as travel separately from fees, attach receipts, and bill them at cost unless your contract says otherwise.

Should I invoice a retainer in advance?

Usually yes. Retainers are typically invoiced at the start of the month they cover, while hourly overages are billed in arrears.

What payment terms do consultants use?

Net 30 is standard with businesses, but smaller clients often agree to Net 15. Put the terms in your engagement letter and on every invoice.
