The key difference

An invoice asks for payment. A receipt confirms payment was received. Same transaction, different moments: the invoice comes before the money moves, the receipt after.

When to send an invoice

Send an invoice when the customer will pay later: when you work for businesses on terms like Net 30, bill hourly or by milestone, or deliver before getting paid. The invoice spells out what's owed, by when, and how to pay.

When to give a receipt

Give a receipt whenever you're paid: at a counter, a market stall, after a home service visit, or when a client pays an invoice and asks for confirmation. The receipt should show your business name, the date, what was bought, the amount paid including sales tax, and the payment method.

When you need both

For invoiced work, you'll often issue both: the invoice when the work is done, and a receipt (or a "Paid" confirmation) when the money arrives. Clients who claim expenses or reimbursements often need the receipt as proof. Keep copies of both and match them in your books so every invoice is marked paid.

Frequently asked questions

Can an invoice be used as a receipt?

Only once it's marked paid. Some businesses send the original invoice stamped "Paid" with the date and payment method; that works as a receipt for most purposes.

Is a bank statement a receipt?

A statement shows money moved but not what was bought. For tax records and expense claims, keep an itemized receipt or paid invoice as well.

Do I have to give customers a receipt?

Federal law doesn't generally require it, but some states and industries have rules, and customers expect one. It's good practice to offer a receipt for every sale.
